New Uzbekistan University invites qualified and motivated candidates to apply for the position of Grants Management and Coordination Specialist (Post-Award / PMO) in the Department of Scientific Research.
The role provides administrative and coordination support for funded research projects, assisting Principal Investigators (PIs) and research teams in ensuring timely reporting, compliance with funder requirements, and effective coordination between internal university units and external partners. The position works closely with the Funding Advisor and the Research Department team.
Key Responsibilities
Grants Management Support
- Provide administrative support for national and international funded research projects.
- Maintain reporting calendars, documentation checklists, and structured project files.
- Coordinate reporting inputs from Principal Investigators and internal units.
- Ensure compliance with funder requirements and documentation standards.
- Liaise with internal departments (Finance, Procurement, HR, Legal) on grant-related processes.
- Communicate professionally with international partners and funding agencies.
Internal Research Funding Coordination
- Support post-award administration of projects funded under the NewUU Research Project (NewUU RP) program.
- Track project milestones, deliverables, and reporting deadlines.
- Monitor implementation progress and coordinate progress and final reports.
- Prepare portfolio summaries, dashboards, and briefing notes for Research Department leadership.
Project Coordination
- Support project coordination activities including meeting organization, agendas, minutes, action logs, and milestone tracking.
Research Department Support
- Assist in improving post-award processes and developing templates, checklists, and SOPs.
- Support organization of grant-related workshops and events.
Required Qualifications and Skills
Education
Formal education requirements are flexible; selection prioritizes communication skills, proactive mindset, and coordination abilities.
Experience
- Experience in administrative coordination, project management, PMO support, or grants administration is preferred.
- Experience in international organizations, NGOs, donor-funded projects, or similar environments is an advantage.
- Ability to manage deadlines, follow up with stakeholders, and resolve issues proactively.
Technical & Professional Skills
- Strong organizational and service-oriented working style.
- Ability to prepare professional emails, meeting minutes, and report drafts.
- Experience managing reporting calendars, action logs, and document tracking systems.
Languages
- English: strong professional proficiency (spoken and written)
- Uzbek: required for coordination with internal units
Computer Skills
- Confident use of Google Workspace (Docs, Sheets, Drive, Calendar)
- Familiarity with shared-drive document management workflows
